As a boutique travel concierge, we handle all the logistics of your nuptials that wedding planners do not. It is a great synergy because we don’t produce weddings and wedding planners are not travel experts. We help research and contract for venue spaces, room blocks, and buyouts. We arrange flights, group activities, ground transportation and provide hand-holding for the wedding party and guests throughout their travels.
Handling the logistics means we are in personal contact with each guest. We keep track of the RSVPs, dietary restrictions and other special requests and compile the rooming list for the hotel. We also set up airport transfers and communicate with hotels on arrival times and requests for early check-ins, rollaway beds, etc.
Most couples list us on the invitations as their travel concierge, so that guests can call with any travel related questions. We field all the questions and requests – that way, the wedding couple do not have friends and family calling them with all these requests. We are also available to answer questions on the suggested attire for each event and whether a shawl or jacket is advisable.
By staying on top of the bookings and cut-off dates, we avoid having the couple get stuck paying for rooms that will go empty and anticipate and solve potential issues before anything goes wrong. Our job is to focus on the logistics, so the couple and wedding planner can focus on the creation and design of their incredibly special day.
Some of the destination weddings we handle are incredibly elaborate. We had one international family who bought out a whole resort for their daughter’s wedding so that they could accommodate their 175 guests, 30 vendors, and the family’s ten private assistants. We arranged for private jets and first-class flights for people coming from around the world, had them met at the airport and transferred to their hotel, and planned spa treatments as part of four days of events. Guests were invited to sign up for bike tours through the vineyards and wine-tastings at private estates normally closed to the public, and lunch at The French Laundry. We also managed any flight delays and were the communication point with guests on property.
